EUDR for Vietnam coffee exporters: what changes on 30 December 2026

The EU Deforestation Regulation (EUDR, Regulation (EU) 2023/1115) applies from 30 December 2026 to large and medium EU operators and traders, and from 30 June 2027 to micro and small enterprises (Regulation (EU) 2025/2650). From those dates, an EU company may only place coffee (HS 0901 – green, roasted and decaffeinated coffee; soluble coffee is added from 30 Dec 2027 by Delegated Regulation (EU) 2026/2102) on the EU market if it is deforestation-free (no deforestation after 31 December 2020), produced legally under the laws of Vietnam, and covered by a due diligence statement (DDS).

As a supplier in Vietnam you normally do not submit the DDS yourself – your EU buyer does. But the buyer can only do that with your data: geolocation of every plot, harvest dates, quantities, land and legality documents. That is why EU importers are now sending coffee suppliers questionnaires, Excel templates and GeoJSON requests. This kit gives you one organised place to prepare those answers.

Vietnam is listed as low risk in Implementing Regulation (EU) 2025/1093. EU operators may apply simplified due diligence (Art. 13) – but they still must collect the Art. 9 information, including the geolocation of every plot, so your buyer will still ask you for it.

Records must be kept for 5 years (Art. 9(1)). The kit does not replace your buyer's own template – it helps you fill any template quickly and consistently.

EUDR geolocation for coffee farms in Vietnam: the rules that trip suppliers up

Central Highlands smallholder supply (Đắk Lắk, Lâm Đồng, Gia Lai, Đắk Nông…) means hundreds of small plots per exporter. The plot register keeps plot ID, farmer, commune/village as printed on the current land documents (with the old name in Notes if units were renamed), area, geometry type and coordinates – and flags every plot above 4 ha that still needs a polygon.

EUDR due diligence statement: what a coffee supplier must give the EU buyer

The DDS is filed by the EU operator in the EU information system. It references the geolocation and product data you supply. In practice buyers ask for three deliverables per shipment: (1) a plot list or GeoJSON file, (2) a lot-to-plot link showing which plots supplied each container, and (3) evidence of deforestation-free and legal production. Tabs 02, 04 and 05 of the workbook produce exactly these, and tab 07 counts inconsistencies before you send anything.

Typical Vietnamese evidence: Land Use Right Certificate number (Giấy chứng nhận quyền sử dụng đất, “sổ đỏ”), land allocation or contract documents for state or company farms, cooperative membership and purchase records, and a land-use-change screening against the 2020 baseline. Record the type and number – share copies containing personal data only when necessary.

Buyers usually want supplier data months before shipment – for 2026/27-crop coffee arriving in the EU after 30 Dec 2026, requests are arriving now.
